PRACTICAL GUIDE / ORDERS

Every order.
A clear next step.

A practical guide to recording orders, keeping payment and shipping separate, and protecting your local data.

01

Start with a clear reference.

Open Order Tracker and choose New order. Enter a unique order number, customer name, order date, amount and currency. Save the order and check the saved confirmation before leaving the editor.

Free Online covers the essentials. Starter adds item names, SKUs, whole-number quantities and unit prices, plus customer contact details, notes and shipping status. When you use line items, their quantities and prices determine the order amount.

02

An order can be paid and still need shipping.

Order status records progress: draft, confirmed, completed or cancelled. Payment status records money received. Shipping status records fulfillment. Check each separately; completing an order does not automatically mean it has been paid or shipped.

Use search and filters to find orders awaiting payment or shipment. Plus adds combined date and source filters, tags, carrier, tracking number and shipment date. These are manually maintained details, not live carrier updates.

03

Record what actually happened.

Premium supports individual payment, refund and shipment records. Record each payment once. If only part of an order ships, record the quantities for those items; the shipping status follows the shipment records.

The workspace checks overpayments, refunds above payments received and shipments above ordered quantities. Refunds reduce net receipts but do not reopen the original amount due. Review the records when a total differs from what you expect.

04

Keep the different totals distinct.

Order amount describes the order. Net received is recorded payments minus refunds. Plus and Premium estimate profit as order amount minus item cost, platform fees, shipping cost and refunds. This estimate excludes overhead and tax adjustments.

Dashboard dates filter by order date, not payment date. Cancelled orders are excluded from sales summaries. Currency totals remain separate: CAD, USD, EUR, GBP and CNY are not converted or added together. Premium also offers shop and combined views.

05

Review an import before saving it.

All editions can export a CSV summary. Plus and Premium can import using the template in Settings / Backup. Use its column names and check the validation result: duplicate order numbers, missing required fields, invalid dates and invalid amounts are reported rather than silently overwriting existing orders.

Import valid rows only after reviewing the rejected rows. CSV imports basic paid or unpaid orders into the default shop; it does not restore detailed partial-payment, refund or shipment history. Use JSON backup for those records.

06

Keep a copy outside the app.

Online workspaces save in this browser’s IndexedDB on this device. Desktop editions save in their local app profile. Neither automatically syncs to another browser or computer. Clearing site data, private browsing or removing app data can lose records.

Use Settings / Backup to export JSON. Free provides an upgrade export; Starter, Plus and Premium can restore a compatible backup. Restore replaces the destination workspace, so export its current data first. To upgrade, export from the old edition and restore into the new one.

Preview editions have separate storage and are not purchased account access or final installer delivery. If another window changes the data, reload the saved version before editing again. JSON backups have a 25 MiB limit.
