Give every product a reliable identity.
Choose New product and enter its name, unique SKU, category, unit and opening quantity. Opening stock is recorded in Main stock as the first movement. Quantities support up to three decimal places, such as 1.250 kg.
Starter adds reference cost, selling price, supplier, notes and a low-stock threshold. Keep units consistent: once a product has stock history, its unit cannot change. Archive products you no longer use; their stock, SKU and history remain preserved.
Record the change, not just the balance.
In Stock Movements, choose the product and location. Use Stock in for incoming quantities, Stock out for outgoing quantities, or Customer return for returned stock. Enter a reason and post the movement. Insufficient stock is rejected; negative stock is not allowed.
To correct the displayed balance, choose Adjust to actual quantity and enter the quantity you physically have. The tool records the difference. To correct a confirmed movement, choose Reverse and explain why. The original stays in history, with a separate offsetting record.
Move stock without changing the total.
Plus adds multiple locations. Create the destination in Locations, then choose Transfer in Stock Movements. Select different source and destination locations, enter the quantity and reason, and post once.
The source deduction and destination increase save together. A failed transfer changes neither side. Transfers are separate from external purchases or sales. Premium adds stores, each with its own locations, and allows individual-store or combined reporting.
Confirm the count. Receive the delivery.
Premium stocktakes record the system quantity and your actual count. Save a draft, review the difference and confirm it to create the adjustment. Confirmation posts only once. If stock changes after the draft is saved, make a fresh count rather than applying stale figures.
Creating a purchase order does not change stock. Add its supplier, receiving location, products and ordered quantities. Confirm a receipt only when goods arrive. Receive each line in full or in parts; the tool prevents receipts above the outstanding quantity.
Know what the numbers mean.
Starter and higher editions can filter products at or below their low-stock threshold. Quantity summaries stay grouped by unit. Plus adds a dashboard, dated movement trends and CSV reports. Premium can filter by store as well as location.
Reference stock value is current reference unit cost multiplied by on-hand quantity, rounded to cents per product. It is not accounting cost, revenue or profit. Changing reference cost changes the current estimate. Currency totals stay separate, with no exchange-rate conversion.
Date filters apply to movement reports, not historical valuation. Transfers and reversals appear as separate movement types. Include archived products when you need a view of all retained stock.
Protect the history as well as the products.
Plus and Premium CSV import adds new products only. Download the template in Settings / Backup and review validation results before importing. Duplicate SKUs and invalid quantities are rejected; existing products are not updated. Opening quantities go to Main stock.
CSV exports are summaries and reports. Use JSON for full recovery: it includes products, movement history, stores, locations, stocktakes and purchase orders. Free can export an upgrade backup; Starter and higher editions can restore compatible JSON. Free displays the latest 20 movements but its upgrade export keeps the entire ledger.
Data stays in the current browser or desktop profile, with no automatic sync. Keep JSON copies outside it. Restore replaces the destination workspace. Export first, then restore into a higher edition to upgrade. Unsupported lower-edition restores are rejected. The JSON limit is 25 MiB.
